Why business email lands in spam in 2026
Mailbox providers stopped giving senders the benefit of the doubt. From February 2024, Gmail and Yahoo began requiring bulk senders to authenticate with SPF, DKIM and DMARC, and Microsoft applied the same demands to Outlook senders in 2025. The effect reaches every business: mail that does not prove its origin is now guilty until proven innocent, whether you send fifty emails a day or fifty thousand.
The fix is three DNS records on your domain. Each does one job:

Frequently asked questions
Why are my business emails going to spam?
Almost always because your domain does not prove who is sending. Since February 2024, Gmail and Yahoo require SPF, DKIM and DMARC before they trust mail at volume, and Microsoft followed in 2025. If those records are missing, wrong, or your newsletter tool and website forms send without them, mailbox providers treat your messages as unverified and route them to junk.
What are SPF, DKIM and DMARC in simple terms?
Three DNS records that prove your email is genuine. SPF lists the servers allowed to send for your domain. DKIM adds a cryptographic signature showing the message was not tampered with. DMARC tells receivers what to do when a message fails those checks, and sends you reports about who is sending as you. Together they are the ID card modern mailbox providers demand.
Do small businesses really need DMARC?
Yes. The Gmail and Yahoo rules are strictest for bulk senders, but every sender now benefits from authentication, and receivers increasingly junk unauthenticated mail regardless of volume. DMARC also stops criminals spoofing your exact domain in invoice fraud against your customers, which is a reputation problem no business is too small to have.
What is wrong with a DMARC policy of p=none?
Nothing, for the first few weeks: p=none is the monitoring mode you start in. The problem is staying there forever, which most DIY setups do. At p=none you collect reports but tell receivers to deliver spoofed mail anyway, so you get no protection. We use the reports to align every legitimate sender, then move you to quarantine or reject safely.
Will this fix my website contact form emails disappearing?
Usually, yes. Contact forms are a classic offender: the website sends mail claiming to be from your domain, but from a web server your SPF record never authorised, so it fails checks and vanishes into spam. We route form mail through an authenticated sender as part of the setup, which is also covered under our website support plans.
How do I check if my emails pass SPF, DKIM and DMARC?
In Gmail, open a message you sent to another account and use "Show original": it displays pass or fail for all three. Free online checkers do the same by giving you an address to mail. Our setup runs these tests before and after, and gives you the evidence of inbox placement rather than asking you to take our word for it.
